Shapes' Vibe views

Create Custom People Analytics with AI

Written by Efrat Barak Zadok

Vibe Views let you build fully custom data visualizations of your people data, just by describing what you want in plain English. No spreadsheets, no manual report building, no technical skills required.

What is a Vibe View?

A Vibe View is an AI-generated data view you can build in the People Directory, the Time Management app and the Performance Reviews app. You type a description of what you want to see, and Shapes instantly builds it for you, live, using your real employee data. This data is live and will always be updated.

Whether you want a headcount breakdown by department, a performance-by-tenure chart, or a custom approval status dashboard, Vibe Views can build it in seconds.

Who can use Vibe Views?

What you can do with Vibe Views depends on your permission level:

  • Super Admins can create and share Vibe Views.

  • Admins can create and share Vibe Views. Sharing is on by default, and a Super Admin can remove it for an admin role in Account Settings → Permissions.

  • Managers can create Vibe Views, but can't share them.

  • Employees can't create Vibe Views.

Everyone, at every permission level, can see Vibe Views that others have shared with them.

How to create a Vibe View

  1. Go to People Directory

  2. Click "+" New View

  3. Select the "Vibe View" option

  4. Type a description of what you want to see — for example:

    • "Build me an analysis to track termination trends overtime"

    • "Show all employees hired in the last 6 months grouped by team"

  5. Click Generate — your view will appear in a couple of minutes.

How to refine a Vibe View

Not quite right? No problem — just describe what you'd like to change

  1. Click on the 3 dots next to the title of the view

  2. Click edit view

  • "Add a column for job title"

  • "Filter to active employees only"

  • "Change the chart to a bar chart"

  • "Sort by hire date, newest first"

Shapes will update the view based on your instruction. You can refine as many times as you like.

Rating a view and reporting issues

The Edit View panel includes thumbs-up and thumbs-down buttons for rating the current version of a Vibe View. A rating applies to the version you are looking at, not to earlier versions. If you click the thumbs-down, a short form opens where you can describe what went wrong. Your feedback is saved on that version and is reviewed by the Shapes team to improve the quality of Vibe Views.

How to share a Vibe View

  1. Hover over the Vibe View's tab name. Three dots appear next to it — click them.

  2. Select Add Viewers.

  3. In the Share view window, choose who should get access:

    • Specific people or groups — use the filters to pick the people or groups you want to share with.

    • All employees — everyone in your organization gets view access.

  4. Click Share view.

Viewers only see data they already have access to, so sharing a view never exposes information beyond someone's permissions. Access updates automatically as people's permissions change.

To stop sharing, open Add Viewers again and click Stop share.

Exporting data from Vibe views

All data shown and generated in the vibe view can be exported either to CSV or PDF

Version history

Every time you refine a view, Shapes saves the previous version. You can switch back to an earlier version at any time using the version history panel — so you never lose a view you liked.

What can I build with Vibe Views?

Vibe Views work with any people data you have in Shapes, including:

  • Headcount & demographics — breakdowns by team, location, tenure, job title

  • Time management — attendance and hours worked, time-off approval status, usage by policy, carry-over balances (see Time Management Vibe Views below)

  • Performance data — rating distributions, review completion rates

  • Compensation — salary ranges by department or level

  • Survey data — responses to a survey, who was asked and who answered, and a per-question breakdown of the results

  • Custom fields — any field you've configured in Shapes

A view built on survey data follows the same confidentiality rules as the Surveys app: an anonymous survey never reveals who gave which answer, a view says so and explains why when too few people have responded for results to be released rather than showing an empty chart, and a draft survey returns no data at all.

Time Management Vibe Views

Vibe Views are also available inside the Time Management app, so you can build attendance and time-off views right where you manage time. The suggested prompts there are tuned for time management, and a single view can combine time management data with people data such as department, manager or office.

To create one:

  1. Open the Time Management app.

  2. Click the + next to the tabs at the top of the page (Summary, Requests, Reports).

  3. Under Add a view, select Vibe View.

  4. Describe what you want to see and click Generate.

What you can build:

  • Attendance — hours worked, clock-in and clock-out times, and monthly attendance summaries per employee or team

  • Time away — who's out on a given day or week, bookings by time away reason, and approval status

  • Balances — used, remaining and carried-over balances by policy. For policies with no fixed number of days, the balance shows as As needed.

  • Payroll-ready reports — a full monthly attendance report you can export to PDF and send to your payroll provider

Example prompts:

  • "Show a monthly attendance summary for each employee in the Operations team, with total hours and days worked"

  • "Who is out this week, grouped by department?"

  • "Show time-off usage by policy for this year, and highlight employees with more than 10 days left"

Good to know:

  • Vibe Views don't change attendance records. They show attendance and time-off data, but you can't correct clock-in or clock-out times from a view. To fix a record, edit it from the employee's Time Management profile or use Quick Fix.

  • Tracking hours by project. Attendance records hold total hours worked, not hours per project. To track project hours, create a custom table under Employee Fields (for example Date, Project and Hours) and allow employees to edit their own rows — see Employee Fields & Tables. You can then build a Vibe View on that table to total hours by project, employee and month. The table isn't linked to attendance automatically, so unassigned hours need to be calculated in the view.

  • Sharing time management views. Viewers only see data they're allowed to see. If a view pulls data from an app the viewer can't access (for example Time Management or Workflows), that part of the view appears empty for them. If someone reports missing data in a view you shared, check their permissions, or refine the prompt so the view uses data they can see.

  • Standard reports. For ready-made attendance and time-away reports, see Time Management Reports.

Tips for better results

  • Be specific — instead of "show me employees", try "show me a table of active employees in the Engineering team with their manager and start date"

  • Mention the format — tell Shapes if you want a table, bar chart, donut chart, or summary card

  • Use refine to fix issues — if something looks off, describe what's wrong and Shapes will fix it. Example: "The status column is showing incorrectly — it should show Approved / Pending, not a list"

  • Filter early — mention any filters upfront (e.g., active only, specific department) to get cleaner results

Frequently Asked Questions

Q: Is this using my real data?
Yes, Vibe Views pull live data from your Shapes account. What you see is always up to date.

Q: Can I share a Vibe View with others?
Yes, if you're a Super Admin or an Admin (unless sharing has been removed for your admin role in Permissions settings). Managers can create Vibe Views but can't share them. See How to share a Vibe View above.

Q: Can I edit attendance records from a Vibe View?
No. Vibe Views display attendance data but can't change it. Corrections to clock-in and clock-out times are made from the employee's Time Management profile or with Quick Fix.

Q: What if the view doesn't look right?
Use the Refine option and describe what's wrong. The AI will correct it. If the issue persists, contact [email protected] with a description of what you're trying to build.

Q: Can I export a Vibe View?
Yes, you can export the data to CSV, or PDF from the view.
