Time Management Reports

Written by Efrat Barak Zadok

At the end of each month, Finance, HR, or bookkeepers need to export the time management data for payroll purposes. Admins with access to Time Management (and Super Admins) can do this from the Reports tab in Time Management, building reports from a template or from scratch.

Time Management reports also show how many additional hours an employee worked on a daily or monthly basis.

Super Admins can also add time reports, such as Attendance summary or Time away requests, to a Dashboard. See Adding Reports to a Dashboard.

Create and Customize Reports

The Reports tab in Time Management is a list of reports that admins build themselves. Start from a template or from scratch, choose the columns you need, add employee details, and export exactly what you see on screen. At the end of the month, this lets HR and Finance build the report their payroll needs instead of rebuilding a fixed export in Excel.

Who can use it

Super Admins and Admins with access to Time Management can use reports in the web app. Managers and employees don't see the Reports tab. Each admin has their own list of reports, so a report you create or duplicate is visible only to you. Another admin can build the same report from a template.

Find your reports

Go to Time Management and open the Reports tab. The list shows each report's name, who added it (Added by) and when (Added at). Use the search box to find a report by name.

Admins who can refresh report data also see when the data was last synced. This status appears only after your account's first sync.

Create a report

  1. Click Add report.

  2. Pick a template, or choose Start from scratch.

  3. Under Choose columns, switch on the columns you want. The table updates as you make changes.

  4. Under Time away, choose Days or Hours for the whole report.

  5. Name the report and click Create.

The 7 templates are Attendance summary (Days), Attendance summary (Hours), Time away over time, Time away requests, Employee assignments, Policy assignments and Employees current balances. Accounts with Shiklulit payroll turned on also see a Shiklulit report template.

Which columns you can add

  • Time management fields: Attendance, and Time away with one column per time away reason. Only Attendance summary reports let you choose these. Other reports keep their own time management columns.

  • Employee fields: employee details from People, in the same groups, such as Role or General Info. These are not available on Policy assignments, which has one row per policy.

  • Always included: First name, Last name and Email appear in every report and stay first.

  • Reorder: drag a column header, or focus it and use the left and right arrow keys.

Pick the period, filter and export

Choose the period type: Calendar month, where you move between months with the arrows, or Payroll cycle policy, which follows the payroll cycle of your policy. The filter icon next to the dates narrows the rows. Export to... downloads an Excel or CSV file with the same columns as the table.

Duplicate or delete a report

Hover over a report and open its ... menu. Duplicate creates a copy named "(Duplicate)" that you can change. Delete asks for confirmation and can't be undone.

Report columns follow People directory permissions. Fields an admin isn't allowed to see (for example National ID, team, office or manager in the Employees current balances report) show "-" and can't be saved in the report or used as a filter.

Good to know

  • "-" in a cell: there is no value, or People doesn't let you see that detail for that employee. In an export these cells are blank.

  • Dated details such as Role or Compensation show the value in force at the end of the report period.

  • Unique names: two of your reports can't have the same name.

  • Saving: a report can't be saved if its name is already taken or if it includes an employee field you're not allowed to see.

  • Employees current balances: it follows People permissions too. Admins who can't see a detail such as National ID, team, office or manager see "-" there.

Examples

  • Payroll export: an Attendance summary with Days eligible for pay, Employee ID and the time away reasons your payroll provider asks for, exported to Excel each month.

  • Absence review by department: Time away columns plus the employee's department, to compare sick leave across teams.

  • Hourly staff: an Attendance summary in Hours, with Expected and Recorded work hours.

Current limitations

  • You can rename a report, but not the columns inside it.

  • Reports can't be shared with other admins.

  • Time management columns can be chosen only on Attendance summary reports.

  • Custom calculations can't be defined.

Employees current balances report

The Employees current balances template is available in the Reports tab.

The report shows a list of employees with all their time away reasons' balances in one row for a specific date. You can filter and export the report to a CSV or Excel file.

  • Any Super Admin or Admin with access to Time Management can build it from the Reports tab.

  • You can see the current balance (without future balance that could affect it).

  • The time filters apply only to active employees in the timeframe.

Employee assignments and Policy assignments reports

Two templates in the Reports tab cover time away policy assignments:

  • Employee assignments: see exactly which employees are assigned to which policies.

  • Policy assignments: one row per policy, to see how many employees are assigned to each policy.

You can export both reports to CSV or Excel.
